Data Deletion
How to ask Sequenz to delete the personal data it holds about you: in the app, by email, or by disconnecting Google, WhatsApp or Facebook. And how we handle it under the GDPR right to erasure.

Controller: Sequenz Ltd (the "Company", "we", "us")
Sequenz Ltd is a private company limited by shares, registered in England and Wales under company number 17499883. Registered office: 128 City Road, London, EC1V 2NX, United Kingdom. It is the controller of the personal data described here. "Sequenz" is the name of its Service.

This page explains how to request deletion of the personal data that Sequenz (the "Service") holds about you, in accordance with the EU/UK General Data Protection Regulation (GDPR) right to erasure (Article 17), the Google API Services User Data Policy for apps that access Gmail and Google Sheets, and Meta's Platform Terms for apps that use Facebook Login and the WhatsApp Business Platform.
For the full picture of what we collect and why, see our Privacy Policy. Where we process lead/prospect data on behalf of a customer organisation, that organisation is the controller — see Section 5 below.
1.Delete your data yourself, in-app (fastest)
If you have a Sequenz account, you can request erasure of your account and its data directly:
- Sign in and go to Settings → Data & Privacy.
- Choose Delete account.
- Confirm. Your account enters a short grace period during which you can cancel; after it elapses, deletion proceeds automatically.
You can also request a machine-readable export of your data from the same screen before deleting (GDPR Article 20, data portability).
Back to top2.Request deletion by email
If you cannot access your account, email privacy@sequenz.ai from the address associated with your account (or, for a prospect, describe the customer/workspace involved). Include enough detail for us to locate your data (name, account email, and the specific data if known). We may ask for proof of identity before acting, to protect against fraudulent deletion requests.
We respond to erasure requests without undue delay and within one (1) month of a verified request, as required by GDPR Article 12(3). We may extend by up to two further months for complex requests and will tell you if we do.
Back to top3.Disconnecting Google and deleting Google data
If you connected a Gmail mailbox or Google Sheets, you can end our access and delete the Google data we hold:
- A Gmail mailbox: go to Channels → Mailboxes, open the ⋯ menu on the mailbox and choose Disconnect. We stop using it, delete the email text we stored from it (reply bodies, your messages in those threads, inbox excerpts and AI reply drafts), revoke our access at Google (unless another Sequenz connection still uses the same Google account) and delete the stored tokens. This usually takes minutes; if a step fails, it is retried automatically every day until it completes. If the same Google account is also connected for Google Sheets, that connection stops working and needs reconnecting. Reply excerpts already written into your own CRM stay there, and a copy held in a failed background task is removed within 14 days.
- Google Sheets: on the Google Sheets page (type "Google Sheets" in the ⌘K command bar to open it), choose Disconnect on the Google account. We delete the stored tokens at once and ask Google to revoke our access, unless another Sequenz connection still uses the same Google account. Leads already imported stay in your workspace, and each sheet you added stays listed (its link and column choices) until you remove it there.
- From Google: you can also remove Sequenz at myaccount.google.com/permissions. Our access ends at once; to also delete the email text we stored, disconnect the mailbox in Sequenz.
- Deleting your account asks Google to revoke every Google connection you made, in any workspace, and deletes its stored tokens; the rest of your data is deleted as described in our Privacy Policy.
4.Deleting data connected via Meta (Facebook Login / WhatsApp)
If you connected a WhatsApp Business Account to the Service using Facebook Login for Business / WhatsApp Embedded Signup, you can remove that connection at any time:
- In-app: go to Channels → WhatsApp, open the connected account, and choose Disconnect. On disconnect we revoke and delete the stored access tokens for that account and stop processing its message data.
- From Facebook: you can also remove our app under Facebook → Settings & Privacy → Settings → Business Integrations (or Apps and Websites). Removing the app there signals Meta to notify us to delete the associated data.
When you disconnect a WhatsApp account or delete your Sequenz account, we delete the WhatsApp connection credentials and the WhatsApp conversation/message metadata we held for it, subject to the retention exceptions in Section 6.
Back to top5.Prospect / lead data (we are a processor, not the controller)
Much of the personal data flowing through the Service is lead/prospect data that a customer organisation uploads, syncs, or generates to run outreach. For that data the customer organisation is the controller and decides what is processed and for how long.
- If you are a prospect and want your data erased, contact the organisation that reached out to you — they control it. You may also contact us at privacy@sequenz.ai and we will forward your request and assist the controller in responding, as required by our Data Processing Agreement.
- Every outreach email we help send includes an unsubscribe link; using it suppresses further contact and records your opt-out.
6.What we retain, and for how long
After a deletion request completes we remove your personal data from our live systems. A limited set of data may be retained where the law requires or permits it, specifically:
- Legal / accounting records (e.g. invoices, tax records) for the statutory retention period.
- Suppression / opt-out records — we keep the minimum necessary (e.g. a hashed identifier) to honour your opt-out and avoid contacting you again.
- Security and audit logs for a limited period, to detect and prevent abuse.
- Encrypted backups — deleted data is purged from backups on our normal backup-rotation cycle (no longer than 35 days).
We minimise retained data to what is strictly necessary and delete it when the basis for retention ends.

If you believe we have not handled your deletion request properly, you may lodge a complaint with your local data protection authority. In the UK this is the Information Commissioner's Office (ICO); in the EU it is the supervisory authority of your country of residence. We would appreciate the chance to resolve your concern first — please contact privacy@sequenz.ai.
